Statement and invoice reconciliation

Start with five completed invoices from one supplier. Use your React Excel exports to check statement entries, invoices and agreed deal terms, then review the differences with your accounts team.

Your suggestion was to see a small example before taking on a bigger piece of work. This proposal starts there.

Current process

Manual entry takes up staff time and leaves room for errors. Muhammed spends considerable time physically checking and approving invoices against the deals he has negotiated, including discounts and rebates.

The accounts exercise needs to check that each selected statement invoice appears in React’s report and that its price, discount and any applicable rebate treatment agree with the recorded deal.

Proposed change

A prepared reconciliation uses React Excel exports and the supporting documents to show the evidence behind each match. It flags differences for the accounts team and Muhammed to review, reducing the repeated searching and checking the sample is intended to address.

For one invoice, the output would show its statement reference, the React report entry, the deal-price and discount checks, and any rebate condition or missing evidence. Muhammed and the accounts team retain approvals. A rebate that depends on later volumes, dates or settlement is flagged, not assumed to be an immediate invoice deduction.

First step

Five-invoice example

Choose one supplier account and approximately five historical invoices your team has already checked. Include an awkward example if one is available.

Inputs

  • The supplier statement and five invoices.
  • The corresponding React Excel export and the team’s existing reconciliation.
  • The applicable deal sheet, prices, discount and rebate terms, including conditions, dates and units.
  • Relevant credits and payment evidence where they affect the selected items.
  • A short walkthrough with Aadil, head of accounts, or the accounts colleague he nominates, subject to availability.

Outputs

  • An Excel reconciliation workbook linking each selected item to its source records.
  • A list of missing records, amount or deal-term differences, rebate conditions and uncertain matches.
  • A comparison with your team’s completed work, explaining every difference.
  • A review of the result and a scope for the next step only if you want one.

Planning allowance: three to five working days after receipt of a complete sample and agreement on scope. This is a proposed allowance, to be confirmed after inspecting the files.

Fee: to be agreed before work starts, including VAT treatment and whether the initial demonstration is separately chargeable. There is no commitment to a later build or ongoing service.

Five invoices demonstrate the method. They do not establish that the entire supplier balance is correct.

Starting point

Receiving and automatic capture matter, but they involve purchasing prices and the way goods enter the business. You proposed starting on the accounts side first.

A small historical sample can be checked against work already completed, without connecting to the live system or changing receiving. It also shows which missing records or price rules must be addressed before a larger trial.

Possible next steps

  1. 01

    One statement period

If the example is useful, agree a separate trial covering one complete supplier statement period, including opening balance, invoices, credits and payments.

  2. 02

    Repeat accounts work

Extend to agreed suppliers, with consistent checks of prices, discounts and rebate terms, and an exceptions list for the accounts team.

  3. 03

    Receiving and reporting

Digitise further workflows in pieces, working towards the live view across the business you described. Consider receiving and management reporting after the accounts checks work; stock accuracy, data freshness and React integration need separate review.

Meeting minutes

Muhammed would also like meeting recordings turned into concise minutes with clear actions. We have prepared a sample from this meeting, using the recordings and Zubair’s notes.

This shows the format; ongoing recording, storage and follow-up automation would be scoped separately from the reconciliation sample.

Next step

Arrange a short sample-selection session with Aadil and Muhammed through Zubair, to confirm the account, React export and deal terms before agreeing the fee and review date.

No start date or decision deadline has been agreed.

Detail

Sample review
  • Every selected invoice is represented as a supported match or an explicit exception.
  • Amounts, dates, invoice references, prices, discounts and applicable rebate treatment agree with source evidence, or the difference is explained.
  • Unclear scans and missing price terms are not treated as confirmed information.
  • Your accounts lead checks every result against the completed reconciliation.
  • Preparation and checking time are recorded; no saving is promised before measurement.
Limits and controls

No payments, live ledger entries, automated supplier claims, supplier messages or goods-receiving changes are included. React Excel exports are available for the first exercise. No API or live integration is assumed.

Partial payments, credit notes, tax, units, pack sizes and price-effective dates follow rules your team confirms. A missing record remains an exception, not a guessed entry.

Data handling

Agree the sample folder, permitted users, processing tools and retention arrangements before sharing records. Supply only the information needed for the sample; no live-system passwords are required for an export-based demonstration.

Proposal basis

Based on the three recordings from 22 October 2026 and Zubair’s follow-up meeting notes. Aadil is confirmed as head of accounts. Fees, timing, the sample and final commercial sign-off remain to be agreed.
